TCSG: Policy and Procedure

AI Software Approval

Our direction is to adopt AI responsibly through a controlled, approval-based process. TCSG has adopted ChatGPT EDU, which has been approved by GTA and TCSG and is the recommended large language model (LLM) for State business.

Employees should use ChatGPT EDU or other AI tools specifically vetted and approved by GTA and TCSG. They should not independently select public, free, or consumer AI services for State business.

All proposed AI tools must undergo GTA’s Business Solution Review and meet applicable security, privacy, contractual, data-protection, and data-location requirements. Approval of one version or implementation of an AI product does not automatically authorize other versions.

This approach enables the productive use of AI while ensuring that State information is protected, approved services are governed, and technical controls can be applied to prevent unapproved use.

Refer to the TCSG AI policy within the TCSG Policy manual.

Current approved AI tools by GTA and TCSG are listed below.   Also, we need to keep in mind the new GovRamp mandate from GTA.   All cloud-based products will require GovRamp certification by July 2027.
